Intro: a ritual every company knows

End of the month, the VAT closing is approaching and the ritual begins: chasing receipts and invoices. Phone calls to technicians in the field, "send it to my email today", taping faded receipts into a notebook, retyping them into the accounting system.

For the accountant, frustration. For project managers and technicians, disruption. For the company, a loss of time that could be spent on real work.

The problem at Omnius

At Omnius we faced exactly the same challenge. Our team of project managers and technicians is constantly in the field, installations, servicing, deployments all across Slovakia. Receipts from petrol stations, materials and small purchases were piling up, and collecting them became harder month after month.

As a company specialising in system integration and automation, we decided to solve the problem the same way we solve it for our clients: with our own solution.

How the "invoice tamer" works

The system operates in five key steps:

  1. Effortless data collection, the team uploads documents to Slack or to a dedicated email address. No new apps, no new habits. Just snap a photo and send.

  2. Intelligent analysis, a script triggers AI to analyse the document. It extracts the supplier, amount, dates, company ID, invoice numbers and other key data.

  3. Bulletproof checks, the system automatically checks for duplicates and compares the new document against existing ones. No invoice gets recorded twice.

  4. Automatic onboarding, newly identified suppliers are created automatically with the appropriate tagging. The accountant no longer has to open a window and fill in details for every new supplier.

  5. Final entry, the data is safely saved into the accounting system. The document is processed, recorded and ready for closing.
